What it looks like, in practice.

Four associations, four different set-ups — and the same mechanic: you open the slots, they place themselves.

School fair

This is the event that mobilises the most people and creates the most work for the committee: a dozen stands, an eight-hour span, and parents who make themselves available in dribs and drabs. The link goes out in the school planner and the class group, three weeks ahead.

The committee no longer collects a single availability: it watches the fill rate and only chases the slots still empty.

What you set up

  • 12 roles: bar, barbecue, duck pond, face painting, till, sound…
  • 40 one-hour slots between 2pm and 10pm, 1 to 4 places each
  • Sign-ups open 3 weeks ahead, automatic reminder the night before

Club tournament and bar

Here it all comes down to a few big moments a season: the spring tournament, the club day, a raffle — with the same core of volunteers you must not burn out. Duplication changes everything: the next event starts from the previous schedule instead of being rebuilt.

Everyone sees who has already signed up and spreads their load across the season, instead of the same three people every time.

Street party, flea market, food drive

The festival committee coordinates volunteers who do not all know each other and are not in the same WhatsApp group: neighbours, shopkeepers, partner associations. The no-account link is decisive here — nobody installs an app to run a stand for two hours.

Volunteers who would never have joined a chat group sign up anyway, in two taps.

What you set up

  • Roles split by zone: entrance, bar, stage, safety, pack-down

Ball, freshers' weekend, inter-school tournament

A student union handles a lot of people over a few days, with a team that changes every year. The sticking point is not sign-up — students answer fast — but the handover: the following year, nobody knows how the previous committee did it.

The next committee picks up last year's events instead of starting from a blank spreadsheet.
